Policy foundation

Security is a shared, daily responsibility.

Security is one of the most important issues affecting Care World’s daily operation. This policy outlines the basis of security maintenance and control, and it is a requirement that the policy be complied with at all times.

Use this policy before entering or closing the premises, sharing access, handling sensitive information or working outside normal hours.

Entry protocol

Building access

The front door will be locked at all times.

Employees

Controlled individual access

All access to and from the building is intended to be through a biometric scanner linked to a security management system. Every employee receives an access code on the first day of engagement. A front-door key is also issued for use by the last person leaving in the evening or at the weekend.

Visitors

Invitation and accompaniment

Access by non-Care World personnel is by invitation only and requires a director’s approval. Under no circumstances may anyone walk around the premises unaccompanied.

Last person leaving

Closing procedure

The final person leaving the building must complete every check before locking the front door.

  1. 01

    Check that all windows, including those in the men’s and ladies’ toilets, are securely closed.

  2. 02

    Switch off all lights except the outside front-door lights.

  3. 03

    Lower and close all blinds.

  4. 04

    Ensure the air conditioning is switched off, except in the computer room.

  5. 05

    Ensure the computer-room door is closed and locked when appropriate.

  6. 06

    Activate the alarm.

  7. 07

    Lock the front door using the issued key.

If the last person neglects these precautions and the alarm is activated as a result, that person will be liable for all resulting expenses.

Codes & response

Alarm system

  • 01

    The first staff member entering and the last staff member leaving must disarm or arm the alarm using the appropriate code on the keypad beside the front door.

  • 02

    The code, and any changes to it, will be communicated to all staff.

  • 03

    If a code is entered incorrectly or the alarm activates while the building is occupied, the contracted security company will call the switchboard and request the password and the name of a staff member on site. An incorrect password will cause an armed response unit to be deployed.

  • 04

    All staff must remain aware of current codes and passwords. These must never be passed to anyone outside Care World staff.

  • 05

    External contractors may not work unattended in the building and may not be given security information.

  • 06

    Management will conduct random security checks to verify system functionality and the security company’s service levels.

Custody & response

Keys & after-hours contacts

Keys

Controlled and monitored

A list of access key holders will be maintained for control and monitoring. Keys may not be duplicated without management approval.

Any lost key must be reported to management immediately, regardless of the time of loss.
After-hours contacts

Emergency details stay current

A list of emergency after-hours contact names and numbers will be maintained and provided to the security company.

Information disposal

Shredding

One clear rule: All sensitive information or documents must be shredded before disposal.

Legal use of content

Copyrighted material must never be used illegally. Any picture, video clip, text or other electronic data downloaded from the internet or received through a network must be treated as copyright-protected unless it explicitly states otherwise.

Failure to follow this requirement will result in disciplinary action.

Only exception

Employees may work later only where client change requests require it, provided the work is approved by both a manager and the client. In those instances, more than one employee must be on site.

Accountability

Non-compliance

Failure to comply with this policy will be perceived as negligence and will result in disciplinary action against the relevant employee.
